الوصف: 

Main responsibilities:

  • Supply
  • Stock management – Logistic and Medical stock
  • Premises management
  • Security and Safety

Main responsibilities and activities of the logistic and support assistant can change according to the organization of the work and to the composition of the team.    

  1. Supply
  • Upon instruction and following MdM purchasing procedures, participating to the local purchasing of goods for the mission.
  • Collecting quotations for purchase of goods and services.
  • Supporting in the preparation of the local prices lists by suppliers based on the information received from your line manager.
  • Ensuring that the suppliers fill in all receipts/invoices for local purchases correctly.
  • Collecting invoices: verifying, summarizing, and submitting invoices packages to the line manager.
  • Following up the day-to-day needs of office supply and cleaning materials.
  • Ensuring the delivery of all purchased items to the requester, collects the proof of delivery.
  • Carrying out a market survey in collaboration with the line manager.
  • Prepare the PO and payment for consultancies, with the coordination with the program and the Logistic managers.
  • Help the logistic team for archiving documentation, printing and scanning.
  1. Stock Management
  • Receiving goods and checking they are in good condition and suitable for the order
  • Organising storage according to the procedure in force and according to the type of stock (pharmaceutical products, flammable products, food stuffs, equipment, cleaning products, stationary,  etc.)
  • Labelling and recording information relating to each product (batch number, expiry date, etc.)
  • Monitoring storage conditions (temperature, humidity level…) according to the specific recommendations for each type of item stored.
  • Preparing outward stock movements (dispatch according to activities, donations, destruction): organising and preparing packages, administrative documentation (transport note, certificates, etc.)
  • Monitoring consumption and expiry dates, updating stock cards
  • Conducting regular inventories in line with the established schedule
  • Organising the quarantine or destruction of expired, falsified or damaged items according to established procedure
  • Reporting on items nearing the end of stock
  • Coordinate with the field and preparation of travel schedules for the goods when needed.
  • Archiving documentation relating to the management of stocks
  1. Premises management
  • Ensure the good management of the stocks in Beirut.
  • Reporting malfunctions in the management of the stock, the building, and related materials and equipment
  • Ensure the maintenance of the premises, according to the lease contract, if needed.
  • Cleaning and maintaining stocks and equipment.  
  1. Security and safety
  • Ensure the cargo / dispatching movement tracking.
  • Report any security-related information to the line manager / Security focal point, following the MdM’s guidelines.
  • Ensure that the fire extinguisher is functioning in good condition.
  1. Other
  • Respect MDM principles/values and do not accept gifts in form of financial or any other compensation (ex: items/materials, food, drinks) from suppliers, traders, contractors, patients/ caregivers.
  • Perform any other additional duty on request of his/her supervisor

This job description can be modified at any time according to changes in MDM activities or in the context with prior notice and agreement between the two parties. On demand of the direct supervisor, other tasks might be added to that present list.

Requested Competence/Skills/Profile

  • Technical diploma, business and administration, management.
  • 1 to 2 years of experience.
  • Ability to work simultaneously on multiple tasks
  • Experience in supervising daily worker (Loading and Offloading), transportation of goods.
  • Experience in Stock Management (Logistic and Medical Stock Management).  
  • Good computer skills on MS Office programs, especially in MS Excel
  • Willingness and ability to work effectively with a wide variety of people
  • Ability to work as part of a team and coordinate with project personnel
  • Good spoken and written English
  • Strong organizational skills
  • Capable to multi-task and process information into action without any delays in the program activities
  • Clear understanding of donor compliance is essential
