To support the implementation of the Project “Strengthening the resilience and coping capacities of vulnerable rural population in North and East Lebanon” John Paul II Foundation is recruiting an Administrator with the following tasks:

The candidate will support the Finance department’s management of accounting systems, policies and procedures in compliance with JPII established accounting standards, Generally Accepted Accounting Principles (GAAP), donors’ rules and regulations, and legal requirements to support high-quality programs. As part of an experienced finance team, the candidate will help coordinate daily financial activities through preparation and delivery of financial services.

Duty Station Beirut visits to our branch offices in the North of Lebanon and  Beqaa Region might be required.

Roles and Key Responsibilities:

  • Help doing month-end close processes of the country offices, preparing monthly financial statements, registering in the accountancy system, and ensure reconciliations.
  • Ensure timely, accurate and complete accounting and reporting of project expenses.
  • Review and supporting documentation of financial transactions to ensure all required documents are accurate and complete.
  • Maintain appropriate archiving systems of the transactions, financial documents of the country offices and supporting documents of the implementing partners.
  • Ensure all original documents are properly coded and filed and the electronic copies are filed electronically in the iCloud storage drop box.
  • Coordinate disbursements to implementing partners, record their expenses and monitor their budget in line with the partnership agreements.
  • Review various financial documents to detect irregularities.
  • Coordinate the year-end closing activities, supporting the preparation of the yearly financial statements in alignment with the JPII and donor requirements.
  • Keep the liaisons with the auditor office to follow up on the labour legislation, compilation of payroll and payment of related taxes
  • Support the procurement officer in preparation of consultancy contracts
  • Maintain employee records (attendance sheet, days of permissions or sickness etc.) according to policy and legal requirements
  • Support in the recruitment process (scan CVs, schedule interviews, etc..) and prepare the employment contracts.

Knowledge, Skills, and Abilities

  • Demonstrated knowledge and understanding of donor regulations and compliance issues related to management of donor funds.
  • Ability to multi-task, collaborate with others, meet deadlines, respond to changes in priorities, and work in rapidly changing and deadline driven environment.
  • Proficiency /Knowledge of Microsoft Office and skill in the use of Excel, including complex/compound spreadsheets and other accounting package and is essential.
  • Working knowledge and experience on the use of accountancy software
  • Demonstrated success in working independently, taking initiative, setting priorities and seeing projects through to completion.
  • Strong problem-solving and analytical skills required.
  • Proven ability in risk management.
  • Dedicated and able to resist stress.
  • Highly organized and able to manage several tasks in parallel.

SELECTION CRITERIA

CVs will be pre-selected according to their coherence with the required profile. Selected candidates will be called for interviews and selection tests. Deadline for submissions is 12/06/2024. Late submissions will not be accepted.

Interviews will take place in JPII Foundation HQ, Rue Gouraud, 191 Gemmayzeh, Beirut office or on-line,
